General security: when working on a project with a client, various documents are generated. These can include:

  • Emails.
  • Letters.

We take all reasonable steps to protect the security of clients’ personal information and documents on our computers and devices by:

  • Working from a secure office premises.
  • Working on a computers and laptops that have secure password and never leave the building.
  • Running up-to-date software, including anti-virus and malware protection software.
  • Backing up our monthly weekly on an external hard drive.
  • Erasing all information from all old devices before disposing of them.
  • Online security: our use of social media (Facebook and Twitter) is covered by the privacy and security policies for those companies, and we only use social media channels whom we have checked and are confident with their privacy policy. Please note: We do not collect any information from our social media platforms.

5. Ensuring that information is adequate, relevant and not excessive

As noted in points 1 and 4, we obtain and keep the minimum amount of personal details about our clients to enable us to conduct business with them, ie contact details and documents relevant to the completion of defined projects.

6. Retaining information for no longer than is necessary for the purpose or purposes

We keep all documents relating to our clients’ business (see first bullet list in point 4) for at least three years. This is because we may need them for reference purposes (in case we undertake further work for them), or in case a dispute should arise over a completed project. After this period, we delete such documents.

We are obliged by HMRC to keep relevant records of business transactions (invoices, receipts, etc.) for six years, during which time I could be audited. If we do not conduct any further business with clients beyond this time frame, we will delete all emails and other documents relating to our work together.

7. Giving a copy of their personal data to individuals, on request

It is the right of our clients to know what information we hold about them in our general records and / or to request a copy of that information. All such requests will be dealt with promptly and in accordance with the current European Data Protection Legislation.     • It is our policy to conduct all of our business in an honest and ethical manner. We take a zero-tolerance approach to bribery and corruption and are committed to acting professionally, fairly and with integrity in all our business dealings and relationships.
    • Any employee who breaches this policy will face disciplinary action, which could result in dismissal for gross misconduct. Any non-employee who breaches this policy may have their contract terminated with immediate effect.
    • This policy does not form part of any employee’s contract of employment and we may amend it at any time. It will be reviewed regularly.
  2. Who must comply with this policy?

  4. Gifts and hospitality

  • Environmental Policy

Introduction and aim

C&D Pest Control ltd is a pest control business, operating from a site in Chepstow. Our main services are pest control. We recognise that our operations result in emissions to air and water, and the generation of waste. It is our aim to comply with legislation and other requirements, continue to reduce the environmental impacts of our business and operate in an environmentally responsible manner. This policy describes how we will achieve our aim.

Responsibility

This environmental policy applies to all of our operations including management, office services, site operations, and procurement. Leigh Obermaier has overall responsibility for ensuring that sufficient resources are made available to enable the business to achieve our environmental objectives and targets and that the policy is implemented.

Leigh Obermaier, Managing Director has the day to day responsibility for ensuring that the requirements of this policy are being followed and for monitoring the effectiveness of the objectives. However, all employees have a responsibility in their area to ensure that the aims and objectives of the policy are met.

Objectives

During 2026 and 2027, we aim to:

  • make efficient use of natural resources by conserving energy and water, minimising waste and recycling where possible
  • meet our duty of care requirements in relation to waste by ensuring the safe keeping, transportation and subsequent recovery or disposal of waste
  • keep transport use to a minimum and regularly service vehicles to maintain their efficiency
  • work with suppliers to ensure they recognise and reduce the environmental impact of their products and transportation
  • include environmental considerations in investment decisions for new plant, equipment or working practices
  • inform and train all employees of the companies environmental objectives and how they can assist in meeting targets
  • use the most environmentally friendly cleaning products whenever possible

Targets

To achieve our aims, we have set ourselves the following targets:

  • reduce vehicle emissions to air by the scheduling of work to reduce mileage and servicing all vehicles
  • reduce the generation of general and hazardous wastes by reducing the amount of stock held in stores and ensuring all jobs are accurately scoped and priced to ensure material usage is minimised
  • recycle as much paper, cardboard, plastic and metal waste generated in the office as possible
  • reduce paper usage by increasing the use of e-mail and electronic documentation
  • reduce energy consumption by monitoring energy usage and training staff on basic housekeeping

Monitoring and auditing

Progress against these objectives will be monitored through a number of mediums including:

  • Annual management review of this environmental policy and any associated environmental procedures
  • Regular internal audits of environmental procedures
  • The monitoring of environmental objectives and associated KPI’s / targets

Communication

This environmental policy is available at www.canddpestcontrol.co.uk/legal. All members of staff will receive training on the environmental responsibilities of their role, and will be informed of any updates or revisions via e-mail or team meetings.

We take a strict approach to breaches of this policy, which will be dealt with in accordance with our Disciplinary Procedure. Serious cases of deliberate discrimination may amount to gross misconduct resulting in dismissal.

If you believe that you have suffered discrimination you must raise your concerns with your line manager or a board director. Complaints will be treated in confidence and investigated as appropriate.

There must be no victimisation or retaliation against staff who complain about discrimination. However, making a false allegation deliberately and in bad faith will be treated as misconduct and dealt with under our Disciplinary Procedure.

Victoria Obermaier, Director has overall responsibility for implementing and monitoring this policy, which will be reviewed on a regular basis following its implementation and may be changed from time to time.

  • Modern Slavery

  1. Overview and how we define Modern Slavery

1.1  Slavery, child labour and human trafficking are serious crimes and a violation of fundamental human rights. There are various forms of this ‘Modern Slavery’ which deprives victims of their liberty and usually involves financial exploitation.

1.2  At C&D Pest Control Ltd we conduct our business fairly, ethically and with respect to fundamental human rights. We are fully committed to the prevention of all forms of slavery, forced labour or servitude, child labour and human-trafficking, both in our business and in our supply chains. We will not tolerate it.

1.3  This policy does not form part of your contract of employment, and we reserve the right to amend this policy at any time.

1.4  You are required to read and comply with this policy if you work for, or on behalf of the Company in any capacity including as: an employee, director, officer, worker, consultant, volunteer, supplier or service provider.

1.5 The Company’s Anti-Slavery Officer Victoria Obermaier (‘ASO’) is responsible for this policy.

1.6  Failure to comply with this policy may result in disciplinary action, including dismissal, or termination of the contract between you and the Company. It could also involve other legal steps being taken against you.

  1. Preventing slavery and human-trafficking in our business

2.1  The Company makes appropriate checks on all employees, recruitment agencies and suppliers, to know who is working for, or on behalf of us.

2.2 The Company provides every employee with a written contract of employment. We pay every employee in accordance with the law. We comply with our legal obligations to ensure the health and safety of all of our employees and workers, including in relation to working hours, rest breaks and holidays.

2.3  All employees are required to sign a copy of this policy to show they have read and understood it. All managers are provided with training on this policy.

  1. If you are one of our Suppliers

3.1  If you supply the Company with goods or services, you must assess your business and supply chains and confirm to our ASO that you comply with your legal obligations, in relation to Modern Slavery, and are committed to ensuring there is no slavery, forced labour or servitude, child labour or human trafficking taking place in your business, or any of your supply chains.  You must also provide a copy of your anti-slavery policy.

3.2  If you breach this policy, or are found to have slavery or human-trafficking in your business, or knowingly in your supply chain, the Company may terminate the contract with you and pursue its legal remedies against you.

  1. If you are an Employee or Worker providing services for us

4.1  You must immediately report any suspicions of Modern Slavery or human-trafficking in our business or supply chains to our ASO. Our ASO will investigate and report to our Board of Directors, within a reasonable time, on actions which may require to be taken.

4.2  You will not suffer any detrimental treatment as a result of reporting any genuine concerns, raised in good faith, under this policy. This applies, even if after investigation, they are found to be mistaken.  If you believe that you have suffered any such treatment, you should immediately inform our ASO and if you are an employee, refer to our Grievance and Whistleblowing Policies.

  • Quality Statement

C & D Pest Control Ltd, (known herein as the company) is dedicated to this quality policy and will endeavour to ensure that its products and services fully meet the requirements of its customers at all times. The goal of the company is to achieve a high level of customer satisfaction at all times. Commitment to the implementation of supporting managerial and business operational systems is essential to realising that goal. It is also recognised that the business environment will have an impact on our quality policy.

C & D Pest Control Ltd is committed to the management of mutually beneficial relationships between clients and suppliers, working together in the implementation of this policy and in continually improving the quality of the products and/or services it supplies.

In the provision of our goods and services we will:

  1. ensure that we fully identify and strive to meet the needs and expectations of our customers and conform to the agreed compliance standards for the products and services we supply;
  2. assess the risk of our service/product provision processes so we can mitigate potential risks of process defects;

The commitments outlined in this quality policy and the improvement objectives will be communicated and available to all relevant interested parties at all times. Awareness training will be an integral part of the strategy to achieve the objectives.

The policy will be reviewed at regular intervals to ensure that it continues to be effective and meet customer expectations.
